How to Use QuickBooks Billing Solutions

This section shows you how easy it is to use the features of QuickBooks Billing Solutions. Learn how to give your customers access to their own password-protected Web page where they can view their billing history online. To unleash the full power of QuickBooks Billing Solutions combine it with the QuickBooks Merchant Service to let your customers pay any invoice online.

Billing Solutions lets you get paid online by credit card*. With QuickBooks 2008 you can get paid online for any invoice you deliver to your customer. Previously, only e-mailed invoices could be paid online. Just check the box on the Invoice form to Allow online payment and give your customers the power to view and pay the invoice on the Web.

You can quickly send invoices via e-mail or U.S. Mail using the Mail Service feature** that is part of Billing Solutions. Just click the Send button at the top of the invoice and select E-mail Invoice or Mail Invoice. You can also use the same batch process as with printed invoices by clicking Send Later. To send the batch, go to the File menu item and select Send Forms. With QuickBooks 2008, invoices sent via the Mail Service can be paid online in addition to those invoices that are e-mailed.

QuickBooks users using Microsoft Outlook, Outlook Express and Windows Mail will see their own Outlook email window appear when e-mailing invoices.

Starting in QuickBooks 2008 you can e-mail invoices with Outlook, Outlook Express or Windows Mail and have them paid online by credit card with QuickBooks Billing Solutions and

QuickBooks Merchant Service. Once your customer has paid you via the online Customer Account Center you can download this payment directly into QuickBooks..Online payment, batch e-mailing and US mail features in QuickBooks Billing Solutions are available to Outlook, Outlook Express and Windows Mail users.

After clicking the link to pay the invoice in their e-mail, your customers can easily make a payment from the password-protected online Customer Account Center.

They can save their credit card and billing information and use it to pay an invoice with just a few clicks.

Note: when using Outlook, your customers will be able to select the invoice from their Customer Account Center and then choose to pay the invoice.

With QuickBooks 2008, even your printed invoices can be paid online! After checking the Allow online payment box, simply print your invoice. The printed invoice will include a note telling your customer they can pay the bill online. It will include an Intuit-hosted Web site address that is unique to your company. You can customize this address on the Billing Solutions Options page that can be accessed from the Customers Menu in QuickBooks.

Once your invoice has printed you will be prompted to decide when the invoice should be sent (uploaded) to the online Customer Account Center. QuickBooks needs to upload the invoice so that your customer can view it and pay it online. You have the option to upload the invoice immediately after printing, or at a later time. You can choose to set this behavior as a preference.

If you choose to upload the invoice immediately after printing, then the invoice is sent to the online Customer Account Center much in the same way that an e-mail is sent. Of course, you will still have to deliver the printed copy of the invoice to your customer (by hand, mail or fax).

If your customer received a printed invoice they will then type the Web address into a browser. This will launch the online Customer Account Center where they can view invoices and make payments. They will be required to create a unique login and password to access their billing information. Your customers will be able to view all their billing and payment history.

When your customer makes an online payment they will receive an online receipt. An e-mail receipt is also sent to them. Each time a payment is made, an e-mail notice is sent to you notifying you that an online payment has been made. The e-mail also provides you instructions for downloading the payment into QuickBooks.

Online Payments are downloaded into QuickBooks in the Receive Payments window that can be easily accessed from the Customer Navigator or Customers Menu. Simply click the Get Online Pmts button and you will be given the option to download QuickBooks Billing Solutions payments. The payments are automatically downloaded and matched to the appropriate invoice in QuickBooks. QuickBooks will launch a report to display the downloaded payments.

Save time and look more professional by using the Invoice Mailing Service. Your customers will receive a remittance stub and return envelope along with your printed invoice. Leave the printing, folding, stuffing, stamping and mailing to someone else.

You can send yourself a sample by selecting Mail Invoice from the Send button drop-down on the Invoice form. In the Mail window, click on the Send Me a Sample button.

Billing Solutions also offers you the ability to easily send e-mail payment reminders to your customers and get reminded who owes you money. You can set defaults to receive daily or weekly reminders of the customers that still owe payments on the e-mailed invoices. You can also easily send e-mail reminders to any of these customers to notify them that payment is due.

Reminders are only available when using QuickBooks e-mail with QuickBooks Billing Solutions.

Billing Solutions can be customized in a variety of ways. Go the Billing Solutions menu item under the Customers Menu to access the Options page. You can set your options individually, or get walked through them all by using the Wizard.

The Wizard is only available when using QuickBooks e-mail with QuickBooks Billing Solutions.

Billing Solutions users that e-mail with Microsoft Outlook will see the Options page with the options relevant to them.
